How to Choose an Ergonomic Office Chair: The Complete UK Buyer's Guide

The word “ergonomic” has been applied to so many office chairs that it has stopped meaning very much at all. It appears on £79 chairs with a fixed back and a foam pad, and it appears on chairs certified for round-the-clock use in emergency service control rooms. Both are described in the same way. Only one of them will still be supporting you properly in five years.

This guide cuts through that. It covers what makes a chair genuinely ergonomic rather than nominally ergonomic, which adjustments matter and in what order, what the British Standards on the spec sheet actually certify, and, importantly for anyone buying in the UK, what your employer is legally obliged to provide.

First, the only definition that matters

A chair is ergonomic when it can be adjusted to fit the person sitting in it. That is the whole test.

It is not about mesh. It is not about the number of levers, or a lumbar-shaped bulge moulded into the backrest, or a marketing phrase such as “contoured for spinal alignment”. A chair with an impressive-looking curve and no adjustment is a fixed shape that happens to suit one body type by accident. A chair that adjusts in height, depth, backrest angle and lumbar position can be made to fit almost anybody.

Human beings vary enormously in leg length, torso length, shoulder width and body weight. No single fixed shape accommodates that range. Adjustability is not a premium feature. It is the entire mechanism by which ergonomics works.

The UK legal baseline: what your employer must provide

Before you spend your own money, check whether you should have to.

The Health and Safety (Display Screen Equipment) Regulations 1992, amended in 2002, place duties on UK employers whose staff use display screen equipment as a significant part of their normal work. In practice, that covers most office roles. Employers must carry out a suitable and sufficient workstation assessment, commonly called a DSE assessment, for every DSE user, and the workstation must meet the minimum requirements set out in the Regulations.

For seating specifically, those minimum requirements state that the chair must be adjustable in height and must have a backrest that is adjustable and provides adequate support for the lumbar region. A footrest must be provided if the user requests one and the workstation cannot otherwise accommodate a good posture.

Three things follow from this that are widely misunderstood.

It applies to homeworkers. If you are a DSE user working from home, your employer’s duty to assess your workstation does not stop at the office door. Hybrid and fully remote staff are covered.

A height-only chair usually fails. If your current chair adjusts in height and nothing else, it does not have an adjustable backrest, and it will not satisfy a properly conducted assessment for most users.

You should not normally be paying for it. Where equipment is required to meet the standard identified by a DSE assessment, providing it is the employer’s responsibility rather than the employee’s.

There is a second legal route worth knowing about. Under the Equality Act 2010, employers must make reasonable adjustments for disabled employees, which can include specialist seating. Separately, the government’s Access to Work scheme can fund equipment for people whose disability or long-term health condition affects how they do their job. Access to Work will not fund equipment considered standard for the role, such as an ordinary office chair, but it can contribute towards specialist seating identified through an assessment. Apply before you buy anything, because funding generally runs from the date of application rather than retrospectively.

The seven adjustments that matter, in order of importance

Not all adjustments are equally valuable. If you are working to a budget, this is the order in which to prioritise them.

1. Seat height

The non-negotiable one, and the only adjustment nearly every chair has. Set it so your feet rest flat on the floor with your thighs roughly parallel to the ground and your knees at approximately ninety degrees. Your elbows should sit at about the same height as your desk surface.

If you are shorter and cannot achieve both at once, lower the chair to fix your feet and use a footrest. Do not raise the chair and let your feet dangle, which loads pressure onto the underside of your thighs and restricts circulation.

2. Seat depth

The most commonly overlooked adjustment, and one of the most consequential.

Sit fully back in the chair with your back against the backrest. You should be able to fit two to three fingers between the back of your knee and the front edge of the seat. If the gap is smaller, the seat is too deep for your leg length and the front edge will press into the back of your knees, so you will unconsciously perch forward, abandoning the backrest entirely and losing all the lumbar support you paid for. If the gap is much larger, you are not getting enough thigh support.

A chair without seat depth adjustment only fits people whose upper leg length happens to match the manufacturer’s assumption. This is the single biggest reason people find an expensive chair uncomfortable.

3. Lumbar support

Your lower spine has a natural inward curve. Sitting for long periods tends to flatten it, which loads the discs and the surrounding muscles. Lumbar support exists to hold that curve.

There are three tiers of implementation:

  • Fixed shaping. A moulded curve in the backrest. Better than nothing, and it fits some people.
  • Adjustable lumbar. Moves up and down, and sometimes in and out, so you can position it at your actual lumbar curve rather than someone else’s.
  • Dynamic or automatic lumbar. Responds to your movement, maintaining contact and support as you shift and recline rather than only when you sit perfectly upright.

4. Backrest recline and tilt tension

Sitting bolt upright for eight hours is not the goal. Healthy sitting is dynamic. You should be moving, shifting and reclining throughout the day, because static loading is what causes fatigue and stiffness.

Look for a synchronised mechanism, in which the seat and backrest move together in a fixed ratio, keeping your hip angle open as you recline. Then look for tilt tension, which sets how much effort recline requires. This needs to be matched to your body weight: a mechanism tuned for a 90kg user will feel immovable to a 55kg user, who will then simply never recline. Recline lock positions let you fix the angle for focused work.

5. Armrests

Armrests exist to take the weight of your arms and shoulders off your neck and upper back. They are described by the number of directions in which they move:

  • 2D: height and width
  • 3D: height, width and depth
  • 4D: the above plus pivot
  • 5D: the above with additional angular movement

The critical one is height, set so your shoulders stay relaxed and your forearms are supported without shrugging or drooping. Depth and pivot matter if you use a mouse extensively, because they let the support follow your arm rather than forcing your arm to find the support.

Armrests that are too high are worse than no armrests at all, because they push your shoulders up towards your ears all day.

6. Backrest height

Torso length varies as much as leg length. An adjustable backrest height lets you position the lumbar curve of the chair at the lumbar curve of your actual spine. Without it, the support lands wherever it lands.

7. Headrest

Genuinely useful for some people and irrelevant for others, which is why it is last rather than unimportant.

A headrest earns its place if you recline frequently, if you take a lot of calls, or if you carry tension in your neck and upper shoulders. It should support the base of your skull when reclined, not push your head forward when you are upright. If it does the latter, it is set too far forward or you do not need one. Mesh, foam or both?

Mesh suspends your weight across a tensioned membrane rather than compressing a pad. It distributes pressure more evenly and does not develop permanent dents where you sit. It also allows air to circulate, which is the reason most UK offices have moved towards it, and which matters more than people expect in a warm room or a British summer.

Foam feels more immediately plush and is warmer, which some people prefer. Its weakness is time: foam compresses permanently, and a foam seat that felt supportive in year one is often noticeably flatter by year four. Foam density matters far more than foam thickness.

Hybrid designs use a mesh back with a padded seat, aiming for breathability where you generate heat and cushioning where you bear weight.

Not all mesh is equal. Cheap mesh sags, loses tension and pills. Look for anti-pilling specifications and, more usefully, look at the warranty. A manufacturer who expects the mesh to fail will not underwrite it for a decade.

Certifications: what the standards on the spec sheet actually mean

This is where UK buyers can make a genuinely informed decision, because unlike the word “ergonomic”, British Standards are tested and verifiable.

BS EN 1335 (Parts 1, 2 and 3)

The baseline European standard for office task chairs, covering dimensions, safety requirements and test methods. It is broadly built around use by people up to around 110kg for a standard working day.

This is the standard to insist on for commercial procurement. Corporate tenders and workplace health and safety compliance generally require it, and a chair without it should not be going into a workplace. All Comfort Workspace task chairs are tested and certified to BS EN 1335 Parts 1, 2 and 3.

BS 5459-2:2000 + A2:2008

A significantly more demanding standard. BS 5459-2 specifies performance requirements and test methods for the structural safety and stability of office seating used by people weighing up to 150kg, or used for up to 24 hours a day. It also covers type-approval testing of individual components: bases, gas lift columns, seat mechanisms, back stems and locking devices.

In practical terms, it means substantially more rigorous cycle testing than the eight-hour standard, and it is the benchmark referenced for genuinely intensive environments: control rooms, surveillance and security operations, emergency services, hospitals, call centres and multi-shift workstations where a chair has no single owner and is adjusted several times a day.

Why this matters even if you work a normal day: the standard is a proxy for build quality. A chair engineered to survive continuous multi-user shift work will comfortably outlast the same chair used by one person for eight hours a day. You are buying the engineering margin. A word of caution when comparing: any seller acting in good faith will state certification clearly and specifically. Vague phrasing such as “meets or exceeds industry standards” or “tested to European norms”, with no named standard, is usually doing work that a certificate would do better.

Matching the chair to the job

Home office, eight hours a day, one user. Full adjustability is the priority. You are the only person setting it, so you can dial it in once and leave it. Breathability matters if your home office gets warm.

Corporate office, hot-desking or shared. Adjustment needs to be intuitive as well as present. A chair with eleven controls that nobody understands is functionally a fixed chair, because a fully adjustable chair the user has never been shown how to operate performs no better than a stool. 24/7, shift work or control rooms. BS 5459-2 is not optional here. Multiple users mean two to three times more frequent adjustment than single-owner seating, so mechanism durability is the failure point, not upholstery.

Users over 110kg. Look specifically for BS 5459-2, which is tested to 150kg. Check the gas lift class and base construction rather than trusting a headline weight figure.

Taller or shorter than average. Seat depth adjustment and backrest height adjustment move from “nice to have” to essential. Test before committing if you can.

Budget: think in cost per year, not cost

An ergonomic chair is one of the few purchases where the cheap option is reliably more expensive.

A £120 chair replaced every two years costs £60 a year and delivers poor support throughout. A properly engineered chair with a decade-long warranty costs less annually and supports you correctly the entire time. That calculation is before you account for the productivity cost of discomfort, or the far larger cost of a musculoskeletal injury.

When comparing, look past the price at:

  • Spare parts availability. A gas lift or castor set is a ten-minute fix on a supported chair and a landfill decision on an unsupported one.
  • Who you buy from. Warranty support is only as good as the company standing behind it.

How to test a chair properly

Sitting in a chair for thirty seconds in a showroom tells you almost nothing. Every chair feels acceptable for thirty seconds.

  1. Adjust it first. Set seat height, then seat depth, then lumbar position, then armrests. If you cannot work out how, that is information in itself.
  2. Sit for at least fifteen minutes. Discomfort shows up in the second ten minutes, not the first.
  3. Recline properly. Does the backrest follow you? Does the lumbar support maintain contact, or fall away?
  4. Do actual work. Type. Use a mouse. Reach for something. Static sitting is not the use case.
  5. Check the edges. Front edge of the seat against the back of your knees, armrests against your shoulder position.

Q. Does my employer have to buy me an ergonomic chair?

UK law does not use the phrase “ergonomic chair”, but the DSE Regulations require that a DSE user’s chair is adjustable in height with an adjustable backrest providing adequate lumbar support. If a workstation assessment finds your current chair does not meet that standard, your employer is responsible for putting it right, and employees should not normally be charged for equipment required to meet it.

Q. Does that apply if I work from home?

Yes. The DSE Regulations cover homeworkers who are DSE users. Your employer must assess your home workstation and act on the findings.

Q. What is the difference between BS EN 1335 and BS 5459-2?
